BizAutomation’s Order Management is the ultimate shape shifter because it caters to so many business models, no matter how complex or diverse. From order entry (which can flow in from anywhere) to split orders with multiple ship dates, to commission splits between employee and reseller, to post fulfillment processing.
Orders can have their own workflow process, and can be combined with purchases and transfers from multiple vendors and sister organizations, all within a single order:
Internal Orders - Create orders internally using our advanced configurable order entry wizard.
Ecommerce Orders - Generated from a BizAutomation commerce site ("BizCommerce"), our own webstore & platform, or from external shopping carts such as Shopify and Magento, via our multi-channel connector.. more.
Multi-channel Marketplace Orders - Such as Amazon, eBay, Walmart and dozens others. Create the shipping labels & tracking numbers in BizAutomation, then send them back to the marketplace via upstream processes built into the system (requires data-feed provider).
EDI Orders - From Big Box Retailers or any source that originates from EDI. Any workflow requiring automatic shipping notices (ASN) and Invoices which are typical in EDI, are automatically handled by the workflow (requires data-feed provider).
Email / PDF Orders - RFQs and Purchase Orders from existing accounts with net-terms, can submit orders via email which BizAutomation will automatically convert into Orders.. more
Transfer Orders - Send and receive transfer orders with sister organizations, subsidiaries, or remote offices with separate warehouses.
Drop-Ship Orders - Any drop-ship line item can be configured to send out a purchase order or transfer order from a sales order so that remote fulfillment can take place.
POS Orders - If you generate orders from a remote POS, including devices used in stores, and self service Kiosks, the output from these devices can be integrated into BizAutomation either directly or via a data-feed partner. BizAutomation’s own "Ecommerce" platform can also be used for this and is already part of the suite (available as an add-on service).
Configurable Order Entry Screen - Customize fields by section within the order entry form (e.g. customer, item, and order detail sections).
Pricing & Promotions - BizAutomation’s extensive pricing and promotion wizards enable any number of discount incentive formulas, including up-selling, cross-selling, substitution of items, and pricing based on cost plus margin, or list price (aka Retail price) minus discount, based formulas.
Configurable Warehouse Selection - Auto or manually select item source location by employee, item availability, customer, or ship-to proximity.
Financial Integration
Shipping Integration
Will-Call - Automatically manage tax calculations for will-call orders.
Kitting - Kits are really virtual items that are made up of other items (you can include noninventory and services in a kit too, not just inventory). Unlike a bill of materials (BOM), its inventory levels are based on the inventory requirements of its items and the qty they contribute to each kit.
Assemblies & BOMs - When in the context of an order, this usually is referred to as a “Build to Order” which means that the items being added to the order are really finished goods that you may have on the shelf to sell, or may not, in which case the order will generate a work order(aka build order) for your shop floor, which triggers the manufacturing process.
Serialized & Lot# items - Assign Serial# / Lot#s when items are picked.
Configured items - Our item configurator will enable you to configure items dynamically from up to hundreds of thousands, or even millions of possible configurations. When you do, you can create one-off SKU #s, that live with the order, or if preferred can be converted into kits and/or assemblies you can put on the shelf for future selling and building. FSB Germany uses SAP for their European operations but came to BizAutomation for their North American operations primarily because of our ability to handle complex item configurations.
Custom “one-off” items - Sometimes you don’t want to dilute your item database with one-off items that will likely never be used again (i.e. are “custom”) and should only live within a particular order.
Ever suspect something changed on your order but couldn’t quite put your finger on it ?
With BizAutomation, the “whodunnit” wont last long, because each order automatically audits changes so not only will you know when something changes, you’ll know who changed it, as well as what the value was before, and after.
Quote to Sales Order - If your business requires a sales opportunity process that includes PDF proposales, quotes, estimates, etc... BizAutomation's quote to order process can work for you. Once a deal has concluded, a click of the mouse is all it takes to either close it, or convert it into a sales order without needing to re-enter anything, becausev all the history from the record is retained during the conversion, including uploaded documents, notes, and correspondences. Conversions can also be triggered via a custom selling process which is based on a percentage progression model, so that when the process reaches the 100% complete, the conversion is triggered.
Purchase Order or Transfer Order from Sales Order - Create purchase orders and/or transfer orders from sales orders. As the name infers, a transfer order enables the transfering of stock from another warehouse (can belong to a subsidiary or sister company). You can purchase or transfer the entire order, or portions of it based on multiple vendors and sources, such as dor example only back-order which will displayed visually. In all cases BizAutomation will group all items belonging to the same vendor within the same order, and create links between all related records.
Later, after product is received and ready to pick, you’ll be able to allocate specifically to the order, so newer orders don’t cause a “rob from Peter to pay Paul” scenario. You can still do that if a VIP customer absolutely demands it, but at least you’ll be aware of the impact of the decision.
To streamline order management, BizAutomation leverages other required ERP modules on the same database (avoiding the copy and paste duplication hairball of a stand alone approach).
Order Task Lists - If an order requires a task list be completed, you can build reusable and simple task list templates that can be added within the order without requiring a separate projects (also available if needed) which could be overkill in many scenarios.
Sales RMAs (Also available from our BizCommerce platform).
Price Margin Approvals - Set price margin rules that trigger approval requests if an employee creates a new opportunity or order that violates minimum profit margins.
Custom Workflow Automation - Set custom workflow conditions (e.g. “IF” new sales order status changes from X to Y) which trigger actions, such as email alerts, field updates, or Quotes and Order Acknowledgements, which can automatically be sent out to customers.
Set minimum order thresholds - If you have items that just aren’t profitable unless you sell a certain amount or unit count, you can set thresholds so that each order has a minimum required spend. This is used for both internal and Ecommerce orders.
Keyboard Shortcuts - Use keyboard short-cuts to reduce order entry time.
Price History - See price history within the customer’s own order history, or for any other customer for whatever item is being added to the order.
Fulfilling within the Sales Order
If your business requires granular control of the fulfillment process, with irregular and unpredictable workflow processes, BizAutomation allows each step to be managed manually within the order itself, including processes such as partial shipping, and invoicing.
Fulfilling hundreds of orders at a time
If you want to fulfill many orders at once (aka mass or batch fulfillment) BizAutomation has you covered. Unlike 3rd party shipping add-ons, it’s part of the suite so it leverages everything - including financials for invoicing, meaning no duplicates of inventory, orders, or customer related data.
Match Invoices to Packing Slips - When packing slips are generated, BizAutomation can create matching invoices, which will be available from the order (without affecting pre-invoiced orders).
Split Inventory / Non-Inventory Invoicing - Orders containing non-inventory (i.e. drop-ship items) and services can be marked as fulfilled if they’re part of an order with inventory. Invoice splitting is provided, so orders with both inventory and non-inventory on the same order can be invoiced separately which allows the inventory invoice to match outgoing packing slips.
Invoice Broadcasting - Leverages BizAutomation’s workflow engine to automatically send invoices to customers regardless of whether invoices are manually or automatically added to an an order. Invoice broadcasts can include custom email templates. Messages are added to the order correspondence history so anyone with permission can lookup these order specific messages.
Pick & Pack by Order or Item - Group items by order or pick items individually.
Picking Formulas - Pick partially shippable quantities or filter out any item or order that can’t be completely picked by quantity ordered.
Pick to Order - If you map or create a transfer or purchase order from an existing sales order, you can allocate (i.e. reserve) inventory from the qty on-hand pool. That way, newer orders don’t take quantity already reserved which can produce a back-order situation where older orders can’t ship because newer orders took their allocation.
Filter by Location - Make the most efficient picking run through the warehouse and by internal location (Aisle, Rack, Shelf, Bin).
Column Filtering - Configure any number of columns to filter the rows that make up your orders and items, then column filter to get precisely the records you need.
Combine Pick & Pack - Pick & Pack can be combined into a single function if needed.
Print Pick Lists (PDFs).
Shipping Box Allocation - Automatically allocate items into shipping boxes/containers which include available boxes and packaging formats provided by parcel shipping companies (FedEx, UPS, USPS, etc…), and can also include your own custom defined boxes.
Packing Slips - Once items are ready to ship, generate and print packing slips, & release allocation.
Shipping Labels & Tracking #s - If you ship via parcel shipping (FedEx, UPS, USPS, with other add-on possibilities), you can generate shipping labels and tracking #s for all the boxes in which items have been allocated using thermal label or standard laser / inject printers.
"We process over a thousand orders a week from Amazon alone. BizAutomation’s sales fulfillment has cut processing time down from 4-6 hours to around 45 minutes, each day."
